Polar Kingdom Privacy Policy

Last updated: September 2026

This Privacy Policy explains how Polar Kingdom collects, uses, stores and protects your personal information when you visit our website, join Santa’s invitation list, purchase tickets, contact us or attend Polar Kingdom.

We take the privacy of our customers seriously and process personal information in accordance with applicable UK data protection law.

1. Information We Collect

Depending on how you interact with Polar Kingdom, we may collect the following information.

Invitation List Information

When you join Santa’s invitation list we collect your first name, last name, email address and mobile number, together with a record of your marketing consent and when you gave it.

Identity & Contact Information

  • your name;
  • email address;
  • telephone number;
  • billing address;
  • postcode; and
  • other contact information you provide to us.

Booking & Transaction Information

When you purchase or manage a ticket we may collect information including your booking reference, tickets purchased, ticket type, booking date, event date and time slot, number of attendees, amount paid, discounts or promotional codes used, transaction status, refunds or adjustments, date changes and correspondence relating to your booking.

Payment card details are generally processed by the payment providers used by our ticketing platform rather than being stored directly by Polar Kingdom.

Customer Service Information

If you contact us we may retain emails, messages, complaints, refund or date-change requests, enquiries, feedback and records of our response.

Accessibility Information

If you contact us regarding accessibility arrangements or an Essential Companion ticket, you may choose to provide information relating to a disability, health condition or accessibility requirement. Where possible, we only use the minimum information required to provide the requested accessibility arrangements. Where eligibility evidence such as a Nimbus Access Card, DLA award letter or PIP award letter is inspected at the event entrance, we do not need to retain a copy solely because it has been shown to our staff unless there is another legitimate and lawful reason to do so.

Marketing Information

We may record whether you have agreed to receive marketing, your marketing preferences, whether you have opened or interacted with marketing communications where our systems provide this functionality, promotions you have responded to, and when you subscribed or unsubscribed.

Website & Technical Information

When you use our website we may automatically receive technical information such as your IP address, device type, browser type, operating system, pages visited, referring website, approximate location based on IP address, website interactions, cookie identifiers and other technical information generated when you use our website.

2. How We Collect Your Information

We may collect personal information directly from you; when you join Santa’s invitation list; when you purchase a ticket; through our ticketing provider; when you contact customer support; when you enter a competition or promotion; when you subscribe to marketing; when you use our website; when you request accessibility arrangements; when you attend Polar Kingdom; through cookies and similar technologies; and from service providers assisting us with operating the event or website.

3. Santa’s Invitation List

When you join Santa’s invitation list, your details are stored with our email provider, Mailchimp, and with our text message provider, and a secure backup copy is kept in Google Workspace so that sign-ups are not lost if one system is temporarily unavailable. We use these details to send you your invitation, priority booking information and other Polar Kingdom news by email and text message, based on the consent you give when you sign up.

4. Ticketing Through Eventcube

Polar Kingdom tickets are sold using Eventcube. When you make a booking through Eventcube, information you provide during the booking process may be processed by Eventcube and payment service providers involved in completing your transaction.

We receive information from the ticketing platform that we need to administer your booking, issue and validate tickets, provide customer service, manage date changes, communicate important event information, prevent fraud and operate Polar Kingdom.

Eventcube and any payment service providers may also process information in accordance with their own privacy policies. Customers should review the privacy information provided during the booking process for further details.

5. Why We Use Your Information

To Process and Manage Your Booking

We use information to process ticket purchases, provide booking confirmations, issue tickets, validate admission, process permitted date changes, deal with booking enquiries and provide the services you have purchased. Our lawful basis will generally be that the processing is necessary to perform our contract with you or to take steps requested by you before entering into that contract.

To Communicate Important Event Information

We may contact you about changes to event arrangements, opening information, ticket information, safety information, parking or travel arrangements, significant weather-related information, changes affecting your booking, and cancellation or postponement. These are service messages rather than marketing, sent where necessary to perform our contract with you or where we have a legitimate interest in ensuring customers receive information necessary to attend the event.

Customer Support

We use personal information to answer questions, investigate complaints and deal with requests relating to bookings or visits. Depending on the circumstances, we may rely on our contract with you, our legitimate interests or our legal obligations.

Event Safety, Security & Fraud Prevention

We may process information where necessary to protect customers, staff and suppliers; investigate incidents; detect or prevent fraud; prevent ticket misuse; enforce our Terms & Conditions; protect our property and systems; and establish, exercise or defend legal claims. We generally rely on our legitimate interests, legal obligations or other lawful grounds applicable to the circumstances.

Accessibility

Where you provide information about a disability, medical condition or accessibility requirement, we use it only for purposes connected with assessing or providing appropriate accessibility arrangements. Health or disability information may constitute special-category personal data and, where required, we will rely on an appropriate additional legal condition, such as your explicit consent.

Accounting & Legal Requirements

We may retain and process transaction and booking information where necessary to maintain accounting records, comply with tax and other legal obligations, respond to regulators or authorities, and establish or defend legal claims.

Improving Polar Kingdom

We may analyse information about sign-ups, bookings, website usage and customer feedback to understand attendance, demand, customer behaviour, website and campaign performance, ticket sales and customer experience, and to improve future events. Where personal information is involved, we will rely on an appropriate lawful basis such as our legitimate interests, or consent where consent is legally required.

6. Marketing

We may send you information about Polar Kingdom and other relevant events, offers, competitions or promotions where we are permitted to do so, by email, SMS, online advertising and other electronic communications.

We will only send electronic marketing where we have an appropriate lawful basis and comply with applicable electronic marketing rules, including where you have specifically consented to receiving marketing, or where you have previously purchased from us and the law permits us to contact you about similar products or events, provided you were given an opportunity to opt out.

You can stop receiving direct marketing at any time by clicking the unsubscribe link within a marketing email, using any opt-out option provided within a message, or contacting customersupport@polarkingdom.co.uk. Stopping marketing communications will not prevent us from sending necessary service communications about an existing booking.

7. Competitions & Promotions

If you enter a competition, giveaway, prize draw or promotion, we may use your information to administer it, verify entries, contact winners, provide prizes, prevent fraudulent entries and comply with promotional terms. Where a competition also gives you the option to join our marketing list, marketing consent will be dealt with separately where required.

8. Cookies & Similar Technologies

Our website may use cookies, pixels, tags and similar technologies to make the website function correctly, remember preferences, maintain security, understand website performance, analyse how visitors use our website, measure advertising effectiveness, and deliver or personalise advertising.

Some technologies are necessary for the website or security functions to operate correctly and, where the law permits, may be activated automatically. Where consent is required by law for analytics, advertising or other non-essential technologies, we will ask for your permission before using them. You can also control certain cookies through your browser settings, although disabling essential cookies may affect website functionality.

9. Advertising Platforms

Where you have provided appropriate consent or where otherwise permitted by law, we may use advertising and analytics services to understand the effectiveness of our advertising. Depending on the technologies operating on the website, information such as device identifiers, IP address, website activity, pages viewed, purchases, advertising interactions and cookie identifiers may be shared with advertising or analytics providers. Where required, these technologies will only operate after you have provided the relevant consent.

If you join Santa's Nice List and have accepted marketing cookies, we may also share your email address, mobile number and name with Meta (Facebook and Instagram) in a scrambled (hashed) form. This lets us measure how well our advertising works and show our adverts to the right people. Meta uses this information only to match it to its own users and does not receive it in a readable form.

10. Who We Share Information With

We do not sell your personal information. We may share information where necessary with trusted organisations that help us operate Polar Kingdom, including:

  • Eventcube, our ticketing platform, and payment service providers;
  • Mailchimp, our email marketing platform, and our text message provider;
  • Google Workspace, which holds a secure backup of invitation list sign-ups;
  • website hosting providers, including Webflow and Cloudflare;
  • IT and technical service providers;
  • marketing, advertising and analytics platforms;
  • event contractors and security providers;
  • professional advisers including solicitors and accountants;
  • insurance and fraud-prevention providers; and
  • government bodies, regulators, local authorities, emergency services and law enforcement agencies where required.

We only share information where there is an appropriate reason and lawful basis for doing so. Service providers acting on our behalf are expected to process personal information only for agreed purposes and to protect it appropriately.

11. Disclosure Required by Law

We may disclose personal information where reasonably necessary to comply with a court order; respond to a lawful request from the police or another authority; comply with a legal or regulatory obligation; prevent or investigate crime or fraud; protect the safety of customers, staff or the public; or establish, exercise or defend legal claims.

12. International Transfers

Some of the technology companies and service providers we use, including Mailchimp and Google, may process or store information outside the United Kingdom, including in the United States. Where personal information is transferred internationally and UK data protection law requires safeguards, we take appropriate steps to ensure it receives an appropriate level of protection, such as transfers to countries covered by UK adequacy regulations, recognised contractual safeguards, or another lawful transfer mechanism permitted under UK data protection law.

13. How Long We Keep Your Information

We only keep personal information for as long as reasonably necessary for the purpose for which it was collected and to satisfy legal, accounting, tax, regulatory or reporting requirements. For example:

  • invitation list and marketing information is kept while you remain subscribed, and we may retain limited suppression information after you unsubscribe so that we can respect your preference;
  • booking and transactional records may be retained for up to six years, or longer where required by tax, accounting or legal requirements;
  • customer service correspondence is normally kept for as long as reasonably necessary to deal with the enquiry and any subsequent dispute;
  • accessibility information is only retained for as long as necessary for the purpose for which it was provided, unless there is a lawful reason to retain it longer; and
  • security or incident information may be retained for an appropriate period where necessary for safety, insurance or legal purposes.

We may retain anonymised information that can no longer identify you for statistical and business analysis purposes.

14. How We Protect Your Information

We take reasonable technical and organisational measures designed to protect personal information against unauthorised access, accidental loss, alteration, disclosure, destruction and misuse. Access is limited to staff, contractors and service providers who reasonably need it for their role or service. No internet-based system can be guaranteed to be completely secure, and customers should also take reasonable steps to protect their own accounts, passwords and devices.
